How many times should you follow up a lead?

Follow up a lead five to seven times over three weeks: three calls and two to four WhatsApp messages, spaced one day, three days, one week and two weeks apart, each carrying something new such as a price, a brochure or a slot. Most sales in Indian telecalling close between the third and fifth touch, and most callers stop after the first.

How many follow-ups does a lead actually need?

Five to seven touches over about three weeks, and the honest reason is that most Indian telecalling teams stop at one. A customer who enquired about a flat, a policy, a course or a loan is talking to three sellers at once, and the one still in touch in week two is usually the one who gets the answer. Three of the touches should be calls, because calls get decisions; the rest should be WhatsApp messages, because messages get read at 10 pm when the customer is finally free.

The spacing matters as much as the count. Seven calls in seven days is harassment and gets the number blocked. Seven touches spread over three weeks, each one carrying something new, is what a good salesperson does by instinct and what a follow-up reminder does by design.

Shift the whole table for the customer’s own timeline. A buyer who said “after the loan sanction” gets touch 3 on the day after the sanction date, not on day 2. That is what the reminder is for.

What should each follow-up carry?

Something the customer did not have before. The follow-up that says “just checking if you have decided” is the one that gets ignored, because it asks the customer to do the work. The follow-up that says “the ready tower’s bank scheme came through yesterday, here is the EMI at 8.4 percent” gives them a reason to reply.

A short list of things that count as new, by industry: a price sheet, a brochure, a map to the site or the centre, a bank or EMI scheme, a demo slot, a batch date, a document checklist, a discount with a real end date, a reference customer, a change in availability.

A short list of things that do not count: “following up”, “just checking”, “as discussed”, a second copy of the same brochure, a call with nothing to say.

When should you stop?

After the seventh touch with no reply, or the moment the customer gives a real no. A real no has a reason: bought elsewhere, budget, timing, not the decision-maker. Log the reason. A lead marked Lost with “went with the other builder, ours was 4 lakh more” is worth re-calling in three months with a revised price; a lead marked Lost with nothing written is gone.

The stopping rule has one exception. A customer who said “call me in March” is not a lost lead in January; they are a follow-up with a date. Set the reminder for March and leave them alone until then. Calling them in February to “check in” turns a warm lead cold.

How do teams keep track of five touches per lead?

They do not, by memory. A caller with a hundred open leads has five hundred follow-ups in flight, and a notebook loses the third one by Wednesday. Two things make the cadence survive contact with a real week.

First, the reminder is set on the call, before the next number is dialed. One tap picks a preset such as tomorrow morning, three days, or next week, or a date the customer named. It rings the caller like an alarm with the lead’s name and the last note on the screen, and the call starts from the reminder.

Second, the WhatsApp touches go out by themselves where they can. How soon should the first follow-up happen?

Within a day of the first call, and within the hour if the customer asked for something specific such as a price or a brochure. A follow-up that arrives before the customer has spoken to a competitor is worth three that arrive after.

Is it better to follow up by call or by WhatsApp?

Both, alternating. A call gets a decision; a WhatsApp message gets read at the customer's own time and leaves the brochure, the price or the slot in their hand. Two calls in a row with nothing new between them is what gets a number blocked.

What should a follow-up message say?

One line that refers to the last conversation, one new thing, and one question with a yes or no answer. 'You asked about the 3 BHK price on Tuesday; here is the sheet with the bank scheme. Does Saturday 11 still work for the visit?'

How do I know when a lead is dead?

After seven touches over three weeks with no reply, or after the customer says no with a reason. Mark it Lost with the reason in the note; a lost list with reasons is the most valuable list a team owns, because it can be re-called in three months with a new offer.

Can follow-ups be automated?
