An institute in Kota runs two centres with three counsellors and a centre head at each. Enquiries peak for six weeks after board results: the website form, JustDial, a Google campaign, referrals from current students and walk-ins at the front desk, together roughly 90 a day at peak.
Before Telecalling Software, the front desk entered enquiries into a register and counsellors called from a photocopy at the end of the day. Enquiries from the morning were called at night, when parents were busy, and nobody knew which counsellor had called whom. With the enquiry sheet connected as a source and the two centres set up as branches, each enquiry now reaches a counsellor's phone within minutes and is called within the hour.
Each call ends with a stage and a note such as "Class 11, wants the evening batch, father will confirm after Saturday's demo." The demo is a stage, the reconfirmation is a reminder, and the fee reminder after admission is a WhatsApp template sent from the record.
What the centre head compares at the end of the season is admissions per source. The referral scheme produced admissions at a fraction of the JustDial cost, which changed where next season's budget went.
